Administrative Assistant

Full Time, Entry Level

Salary $20.00/Hour

Capsule Auctions is seeking an Administrative Assistant to facilitate and grow administrative, client relations, and marketing efforts. This position affords a candidate with the opportunity to work closely with our inventory of Fine and Decorative art while providing hands-on client relations experience in a multifaceted role. The ideal candidate should enjoy being part of a small team, have a strong work ethic, detail oriented, communicative and personable. We are a growing company with fantastic opportunities to innovate and modernize the auction industry. 

The Role

  • Field, document, and assign all phone and email inquiries
  • Manage sale cycle operations including pre-auction condition and photography inquiries, auction day bidding support to staff and customers, post-auction customer payment and fulfillment
  • Organizing Shipping with third party Shippers and Customers - inventory handling, organization and documentation
  • Greet visitors in the gallery and answer questions accordingly
  • Maintain company Calendar to upkeep sale prep and completion
  • Maintain invoicing and inventory database through Filemaker

Marketing Responsibilities

Create and send marketing emails using Mailchimp, assist with writing blog posts and website content, and manage social media accounts to engage with clients and grow the company’s digital presence

Qualifications

  • 4 year degree
  • Must be comfortable speaking with high level clients and daily visitors alike with calm, warm and poised demeanor
  • Must work well with others and be motivated independently
  • Ability to prioritize and juggle multiple tasks to improve and streamline auctions
  • Able to work Monday to Friday 10:00-5:00 PM , in person, at our Chelsea Location
  • Able to lift artworks up to 20lbs
  • The ideal candidate will be committed to staying with the company for a minimum of one year
  • Customer service experience
  • Familiarity with Mailchimp, social media platforms, and content writing is a plus, but not required

Auction Cataloger

Full Time, Entry Level or Experienced

Salary $18-$28/Hour, commensurate with experience

Capsule Auctions is seeking a cataloger to assist with researching, reviewing, and cataloging property on offer. The Cataloger will work closely within the Production Team and with the Administrator to ensure smooth coordination of property arrival dates and locations, and assist with valuations, client outreach, and selections for sale. While prior appraisal or cataloging experience is welcome, it is not required as training will be provided. Experience with Filemaker or similar database solutions is a plus but not mandatory.

The Role

  • Accurately catalog and research estate property, including fine and decorative art, furniture, and more.

    Compose lot descriptions, research appropriate price estimates, and create accurate condition reports.

  • Meet deadlines for sale postings.

  • Support sales activity.

  • Coordinate with photography.

  • Salary is commensurate with experience.

Qualifications

  • 4 year degree

  • Basic computer skills and a willingness to learn new technology.

  • Ability to safely handle artwork weighing up to ~25 lbs.

  • The ideal candidate will be committed to staying with the company for a minimum of one year

Asian Art Specialist

Part Time/ Contract Work, Experienced 

Salary commensurate with experience, starting at $35-50/hour 

The Role

  • Research and write catalogue entries
  • Adhere to strict production deadlines
  • Assist with condition reports

Qualifications

  • Minimum of 5 years experience within the field
  • Be well versed and very knowledgeable in all types of Asian Art
  • Understand appraisal valuation
  • Up to date market knowledge
  • Auction house experience preferred but not essential

Jewelry Specialist

Part Time/ Contract Work, Experienced 

Salary commensurate with experience, starting at $35-50/hour 

The Role

  • Research and write catalogue entries
  • Adhere to strict production deadlines
  • Assist with condition reports

Qualifications

  • Minimum of 5 years experience within the field
  • Be well versed and very knowledgeable in all types of Jewelry
  • Understand appraisal valuation
  • Up to date market knowledge
  • GIA Graduate Gemologist or experienced Jewelry Appraiser
  • Auction house experience preferred but not essential
